Legal Officer
Main Duties
- Preparing and Managing contracts, Leasing security documents, MOUs, and other legal documents between the Institution and other parties
- Reviewing and negotiating various agreements and documents with suppliers and customers including sales contracts, confidential agreements, tender documents.etc
- Communicating with external attorneys to provide legal advice on the issues related to the institution’s obligations, rights, risks and organization privileges if needed
- Collaborating with other internal departments such as HR, Finance, Marketing to ensure Legal Compliance for the institutions
- Coordinating with Human Resources, Management Team, or external attorney (if needed) to enforce procedures and policies legally
- Reviewing and vetting demand letters, statutory notices, pleadings, affidavits, and other relevant litigation documents
- Guiding on litigation matters
- Managing litigation records and regular review of litigation matters
- Liaising with external lawyers to defend the institutions rights involved in contract negotiation, dispute settlement, and litigation if needed
- Any other related duties assigned from time to time
Qualifications
- Bachelors of Law LLB degree
- Diploma from the Kenya School of Law
- Advocate of the High Court of Kenya with a current Practising Certificate
- 3 years of relevant working experience

Pharmacy Store Inventory Officer
Main Duties
- Responsible and Accountable for the stocks in the respective store assigned
- Receiving and inspection of all pharmaceutical products delivered to the stores by suppliers as per the laid down guidelines
- Ensuring proper carriage, packing, and storage of stock in the store while enforcing safety and easy retrieval
- Applying proper inspecting procedures with a focus on shelf life, quality, and packaging, LPO, delivery notes, and Invoices. Ensuring all stored items are well labeled and accurately stored in their mapped locations
- Processing service orders from user departments and issue all stock and non-stock items to various operational areas in the main hospital and external medical centers
- Performing regular stock counts to ensure physical stock levels are consistent with system stocks every week and during the quarterly stock-take exercises
- Putting measures in place to trace; and prevent theft and pilferage of the stock
- Maintaining records for breakages and returned items as per the policy.
- Returning all defective or near-to-expire items to suppliers within reasonable time to mitigate losses to the Hospital and Supplier
- Utilization of ERP inventory software to process requisitions and orders, issue stock analysis, and report on stock levels and stock movement trends
- Maintaining standards of health and safety, hygiene, and security in the store
- Confirming that all items received conform to the Local Purchase Order, Contract, Delivery Note, and, where applicable, shipping documentation
- Managing stock levels and Issue stocks under the FIFO method while enhancing expiry Management, mitigating stock-outs, and avoiding obsolescence
- Submission of invoices and delivery notes twice a week to the Finance Department for payments and regular follow-up of credit notes in an accurate manner to prevent payment disputes
Required Qualifications for the Position
- Degree in the Procurement related field. Additionally, a diploma in Pharmacy is preferred
- 3 years working experience in procurement and supplies management

Procurement Officer
Main Duties
- Ensuring timely and efficient procurement of goods, works, and services and observing transparency, fairness, and competitiveness
- Participating in preparing and receiving bidding documents, and ensuring their safe custody
- Undertaking evaluations, negotiations, and award recommendations for bidding processes related to quotations, expressions of interest, proposals, and tenders as per laid down procedures
- Sustaining accuracy in preparation of LPOs, GRNs, Issue Notes, Requisitions, and all other documents with the ERP system and manually
- Preparing reports and ensuring timely reporting to the relevant authorities (s)
- Ensuring that contracts being submitted for approval have supporting documentation, and have been approved at the appropriate stage
- Examining, and testing existing contracts and developing new ones as appropriate.
- Controlling spend and building a culture of long-term savings on procurement costs.
- Spearheading supplier registration processes and conducting market surveys from time to time
- Coordinating purchasing and inventory activities on the e-platform
- Receiving the materials supplied by the vendor as per the local purchase orders, contracts, and associated documents
- Inspecting deliveries thoroughly for quality, quantity, specification condition, condition, and expiry date
- Submitting invoices of the materials received from vendors to the Accounts department for payment.
- Carrying out periodic inventory counts and ensuring the correctness of stock levels at all times and providing reports
- Following up on stock-outs and escalating information on requested items or alternative solutions
- Monitoring fridge temperatures, correcting inconsistencies, and safeguarding stock items.
- Categorizing materials in different product lines and assigned locations.
- Maintaining neatness and tidiness of the store
- Issuing, monitoring, supervising stock levels, managing stock movements, and recording transactions as per procedure
- Sustaining supportive activities and relationships with all stakeholders

Store Assistant
Main Duties
- Ordering surgical and pharmaceutical supplies as per scheduled guidelines
- Overseeing inventory, replenish stock, and optimize stock levels
- Carrying out periodic inventory counts and ensuring the correctness of stock levels at all times
- Providing reports of the periodic inventories done and participate in stock take exercise
- Receiving the materials supplied by the vendor as per the requisition
- Checking the materials thoroughly for quality, quantity, specification condition, condition, and expiry date
- Delivering invoices of the materials received from vendors to the Accounts department for payment
- Following up on stock-outs with procurement and escalate as needed
- Monitoring fridge temperatures, chart daily temperatures, and report inconsistencies
- Taking appropriate action for care and preservation of the materials, and report any breakages and/or expiries
- Ensuring safety precautions and measures are observed for the safety of personnel and materials at the store
- Categorizing the materials in different product lines and stock in the appropriate locations.
- Maintaining neatness and tidiness of the store
- Issuing, monitoring, and recording surgical and pharmaceutical materials for use in theatres.
- Monitoring expiries, breakages and stock movements
- Maintaining accurate stock records and file stock documents.
- Generating reports and submitting to concerned authorities
Required Qualifications for the Position
- Diploma in Procurement and supply chain Management.
- 3 years of relevant working experience
- Working in a hospital set up is an added advantage
