Clinical Operations Manager
Job Objective/Purpose
Manage Clinical Services and provide overall leadership of care and clinical practice, ensuring operational efficiency and positive patient experience, in line with the Hospital protocols and standards.
Key Responsibilities:
- People Management:
- Liaise with the HM/HR to ensure optimal staff levels, including reallocation of staff per staffing needs, as well as efficient use of overtimes and locums.
- Regular staff engagement and monthly staff meetings with documented evidence of attendance.
- Participate in the recruitment, interviewing, orientation & development of c staff, including mentoring, coaching and developing the team.
- Reward, recognition and discipline; ensure deserving staff are recognized, in liaison with HR.
- Supervise all unit managers and Doctors within the department (Consultants, MOs,, Pharmacy, Laboratory, Radiology, Bio Med), Ensuring all clinical Staff register is up to date with contact details all licenses and CPD points
- Ensure that all the Clinical Staff have valid practice licenses per the law.
- Ensures all clinical staff accurately perform their procedures / tasks as assigned to them, including admission, discharge, drug administration, clinical observations, infection control, etc., and lead performance appraisals.
- Clinical Operations
- Facilitate and Implement Clinical Governance Committees, Incident Reporting, RCAs with closure of all QIPs and CAs, documenting and Reporting Medico-Legal issues to CMO
- Facilitate Credentialing and Privileging of Doctors and other Clinical staff through submitting documents and references for consideration.
- Ensure that the unit functions effectively and efficiently by ensuring timely and appropriate investigations and treatment of the patient, including smooth and timely admission process, and Coordinate multidisciplinary care whenever a patient requires it and monitor TAT.
- Ensure that the facility has the necessary equipment, services and supplies that are in good working condition and adequate enough to ensure quality of care and service.
- Perform duties as a member of the hospital crisis management committee as guided by the committees TOR.
- Ensure financial objectives are met by managing costs within budget, Timely and accurate billing of drugs and services and Ensuring an invoice rejection rate of < 3% by enforcing exclusions, ensuring the necessary pre-authorizations and proper documentation and follow through with the credit control team.
- Ensure adequate knowledge of, and compliance to all Avenue Healthcare policies, procedures, systems, especially policies pertaining to the provision of medical services.
- Ensure that Avenue Healthcare corporate governance policies are adhered to, including preventing, detecting, and reporting any fraud or criminal
Personal Specifications
- Postgraduate or Masters in relevant medical field
- A valid Kenya Medical Practitioners’ and Dentists Board (KPMDB) Licence
- Valid certification in BLS, ACLS or ATLS
- 5+ years of medical experience and atleast 2+ years of clinical operations and management experience
- Customer focus and results oriented
Laboratory Manager
Job Objective/Purpose
Planning, organizing, and coordinating all the activities in the Laboratory unit, ensuring the provision of high quality laboratory diagnostic services in the hospital, in line with the Hospital protocols and standards.
Key Responsibilities
- People Management:
- Supervise Laboratory team in delivering individual and team targets by ensuring the delivery of professional and high standard of services.
- Prepare monthly work schedules (ROTA) and ensure efficient use of overtimes and locums.
- Provide leadership, ensuring staff development, engagement, performance, and ensure monthly staff meetings with documented evidence.
- Ensure the unit is financially viable and demonstrate growth through;
- Managing Laboratory costs within budget through appropriate staffing, timely and accurate billing of laboratory services, managing incidences, and proper consumable management.
- Offering quality care to patients and ensuring good relationship with stakeholders and client satisfaction, following up on their feedback,
- Equipment and Supplies Management: Ensure proper inventory, maintenance, and calibration of the equipment used in the laboratory for efficient and accurate results.
- Laboratory Services
- Ensure proper and timely documentation and maintenance of laboratory records, patient records and tests results while maintaining confidentiality. Record, verify, and amend (when required) the test results, and ensure the integrity of the results database.
- Ensure a safe working environment in accordance with relevant legislation and all safety protocols, including adherence to IPC standards, correct disposal of medical and bio-hazardous waste, implementation of SOPs and QIPs and incident reporting, and reviewing and acting on quality indicator reports (IQC & EQA).
- Ensure that any issue pertaining quality and Stock outs are escalated to the Group Lab Manager and MSM/HM
- Follow laid down Lab Board approved rules for the medical lab profession, and adhere to Government and professional standards of care and treatment of patients.
- Ensure adequate knowledge of, and compliance to all Avenue Healthcare policies, procedures, and systems, especially policies pertaining to the provision of medical services.
- Ensure that Avenue Healthcare corporate governance policies are adhered to, including preventing, detecting, and reporting any fraud or criminal activities, and Implementing audit recommendations.
Personal Specifications
- Degree in Medical Laboratory Sciences with 3+ years’ experience in a related position.
- A valid practicing license from Kenya Medical Laboratory Technicians and Technologists Board
- Experience with accreditation such as SANAS/CAP/ISO and Laboratory QMS is highly desirable
- Strong interpersonal skills, team playing abilities, and communication skills.
- Highly responsive, ethical and responsible
Unit Manager – Maternity
Job Objective/Purpose
- Planning, organizing, and coordinating all Materinty unit activities, ensuring the provision of patient-centrist nursing care, operational efficiency and positive patient experience, in line with the Hospital protocols and standards.
Key Responsibilities
- People Management:
- Supervise maternity team in delivering individual and team targets by ensuring all nurses accurately perform their tasks, including admission, discharge, drug administration, clinical observations, IPC, and others, and lead performance appraisals.
- Prepare monthly work schedules (ROTA) and ensure efficient use of overtimes and locums.
- Provide leadership, ensuring staff development, engagement, performance, and ensure monthly staff meetings with documented evidence.
- Ensure the unit is financially viable and demonstrate growth through;
- Ensuring quality of Care & Service hence ensuring high patient retention rates by achieving high patient satisfaction rates and NPS scores.
- Managing materinty unit costs within budget through appropriate staffing, timely and accurate billing, incidences and consumables management.
- Supporting marketing events as needed
- Ensure proper inventory, standardization, calibration, and maintenance on all materinty equipment, and prudent inventory and supplies management.
- Nursing Services
- Review specific patients’ investigations, analyze, interpret, troubleshoot, and initiate immediate intervention.
- Ensure primary nurse engagement with doctors and other providers regarding patients’ plan of care with emphasis on a team-based problem-solving approach.
- Participate in formulation of, and ensure implementation of SOPs and QIPs in the unit, including enforcement of IPC standards, and observe the infection control bundles.
- Ensure all nursing protocols have been administered as per the set-out policies and guidelines, recording and reporting all sentinel incidents/events within 24 hours using the provided tools.
- Ensuring proper and timely documentation of patient treatment, maintaining proper records, confidentiality, and ensuring handing over between shifts.
- Ensure adequate knowledge of, and compliance to all Avenue Healthcare policies, procedures, systems, especially policies pertaining to the provision of medical services.
- Ensure that Avenue Healthcare corporate governance policies are adhered to, including preventing, detecting, and reporting any fraud or criminal activities, and Implementing audit recommendations.
- Adhere to Government and respective professional standards of care and treatment of patients as guided by the Nursing Council of Kenya.
Personal Specifications
- Diploma in Nursing (KRCHN) and/or BsN in Nursing
- Valid certification in BLS, ACLS or ATLS
- 3+ years of maternity nursing experience and atleast 2+ years of management experience
- Customer focus and results oriented.
