Org. Setting and Reporting
The United Nations Environment Programme (UNEP) is the leading global environmental authority that sets the global environmental agenda, promotes the coherent implementation of the environmental dimension of sustainable development within the United Nations system and serves as an authoritative advocate for the global environment. UNEP implements legislative mandates of the United Nations Environment Assembly and the United Nations General Assembly, ensuring coherent delivery of its programme of work. Its mandate is to, among others, coordinate the development of environmental policy consensus by keeping the global environment under review and bringing emerging issues to the attention of the governments and the international community for action.
This position is located in the Governance Affairs Office, UNEP, Nairobi duty station. Under the guidance and oversight of the Director, Governance Affairs Office, the incumbent, will be responsible for the following duties:
Responsibilities
- Plan, coordinate, supervise and carry out in a timely manner the logistical arrangements for the sessions of the United Nations Environment Assembly (UNEA) and the Open-ended Committee of Permanent Representatives (OECPR).
- Lead the coordination with the United Nations Office at Nairobi (UNON), including the Division of Safety and Security (UNDSS) and other United Nations (UN) Agencies, of all aspects of UNEA and OECPR session, including registration, security, protocol, and conference services.
- Coordinate with the Communication Division of UNEP on all communication and outreach activities and the design and branding of the meeting rooms.
- Oversee the content management of the UNEA website and other platforms such as documentation platforms, mobile applications and registration platforms.
- Coordinate with relevant entities on the multilingual live streaming of the meetings of UNEA and the OECPR sessions and uploading of related documentation on relevant platforms and websites.
- Coordinate with the relevant Ministries in the Government of Kenya and the Permanent Mission of Kenya to UNEP on logistical, protocol and operational matters related to UNEA and OECPR sessions.
- Lead the coordination of all procurement matters for UNEA and the OECPR sessions, including preparing, revising and updating terms of reference for procurement, ensuring timely submission, managing of vendors and contractors, and undertaking appropriate follow-up.
- Coordinate the implementation of greening measures for UNEA and the OECPR sessions based on the United Nations (UN) environmental policies and standards for UN conferences.
- Coordinate the implementation of disability inclusion measures for UNEA and the OECPR sessions based on the United Nations (UN) policies and standards for UN conferences.
- Support the Chair and Secretary of the UNEA Strategic Taskforce.
- Undertake or oversee the administrative tasks necessary for the preparations of UNEA and the OECPR sessions, including the development and follow up of budgets, resource mobilization and reporting on budget performance.
- Assist with UNEA resource mobilization efforts, especially with regard to logistics.
- Assist with liaison with the Host Country on logistical matters.
- Undertake survey initiatives; design data collection tools; review, analyze and interpret responses, identify problems/issues and prepare conclusions.
- Undertake internal and external outreach activities; conduct training workshops, seminars, makes presentations on assigned topics/activities.
- Support the planning and organization of the Committee of Permanent Representatives Subcommittee meetings.
- Collects and analyzes data to identify trends or patterns and provide insights through graphs, charts, tables and reports using data visualization methods to enable data-driven planning, decision-making, presentation and reporting.
- Perform other duties as required or requested.

Education
- Advanced university degree (Master’s degree or equivalent) in business administration, political science, international relations or related area is required. A first-level university degree in combination with two additional years of qualifying experience may be accepted in lieu of the advanced university degree.
- Successful completion of both degree and non-degree programs in data analytics, business analytics or data science programs is desirable.
Work Experience
- A minimum of seven (7) years of progressively responsible experience in coordinating intergovernmental meetings and conference management in the United Nations system or similar international organizations is required, including demonstrated experience in planning and delivering high-level, complex, multi-stakeholder meetings and conferences at the international level, and managing end-to-end logistical, operational and procurement arrangements for large-scale events involving Member States, intergovernmental organizations, multilateral environmental agreements, senior officials, non-governmental organizations, multiple institutional partners.
- Experience in procurement processes within the United Nations system or similar international organizations, including drafting terms of reference, managing procurement timelines, overseeing vendor performance, and ensuring compliance with applicable financial rules and procedures, is required.
- Experience coordinating across the United Nations system or similar international organizations, particularly with conference services, security, protocol, communications and administrative functions, preferably in the context of governing bodies or treaty-based meetings, is required.
- Experience in liaising with and supervising contractors and service providers, including conference services, IT platforms, streaming providers, logistics and venue services within the United Nations system or similar international organization, is required.
- Experience in integrating environmental sustainability (“greening”) measures into the planning and delivery of large UN conferences, in line with UN environmental policies and standards, is desirable.
- Experience in implementing accessibility and disability inclusion measures for conferences or large events, in accordance with UN policies and standards, is desirable. Two (2) years or more of experience in data analytics or related area is desirable.
