Business Support Assistant (GDS & Ticketing Specialist), SC4

THE ROLE:

  • The Travel Focal Point will support the GHQ Travel Hub by providing end to end air ticket processing services, with a primary responsibility for handling flight bookings through a Global Distribution System (GDS). The incumbent will identify and share suitable flight options with requestors, and upon confirmation, submit electronic ticketing requests to the BCD Automated Ticket Issuance system for issuance.
  • The role requires strong technical expertise in airline reservations, ticketing rules, and fare construction, ensuring accurate, timely, and compliant ticketing in line with WFP travel policies and corporate efficiency principles.

KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive):

GDS Ticketing and Travel Processing

  • Process air travel requests received through WFP travel workflows and systems.
  • Perform flight searches and reservations using a Global Distribution System (GDS), ensuring optimal routing, fare selection, and compliance with WFP travel policies.
  • Prepare and share proposed flight options with travellers and travel focal points, clearly outlining fare conditions and key constraints.
  • Coordinate closely with travellers/travel focal points to confirm itineraries and travel preferences.
  • Submit finalized itineraries through the BCD Automated Ticket Issuance system for ticket issuance.
  • Ensure timely issuance of e‑tickets and accurate transmission of travel documentation to travellers.

Compliance and Quality Assurance

  • Ensure all bookings comply with WFP travel policies, financial rules, security requirements, and corporate efficiency measures.
  • Apply cost‑containment principles, including use of lowest logical fares, approved routes, and preferred carriers when applicable.
  • Conduct accuracy checks on itineraries, ticketing data, and fare rules prior to ticket issuance.
  • Maintain proper records of bookings and ticketing actions for audit and reporting purposes.

Coordination and Client Support

  • Serve as a key operational contact for travellers and GHQ Travel Hub colleagues on ticketing‑related matters.
  • Liaise with BCD Travel and internal stakeholders to resolve ticketing issues, re‑issues, exchanges, cancellations, and disruptions.
  • Support travellers during disruptions by proposing alternative routing options and coordinating corrective ticketing actions.
  • Maintain clear, timely, and professional communication with all stakeholders.

Process Improvement and Support

  • Contribute to the continuous improvement of ticketing workflows and SOPs within the GHQ Travel Hub.
  • Support team knowledge‑sharing on GDS functionality, fare rules, and ticketing best practices.
  • Flag recurring issues, system constraints, or policy gaps and propose practical solutions.
  • Perform any other related duties as required.

QUALIFICATIONS & EXPERIENCE REQUIRED:

Education:

  • Completion of secondary school education. University degree or diploma in Travel, Tourism, Business Administration, or a related field is desirable.

Experience:

  • Minimum 4 years of relevant experience in airline reservations, ticketing, or travel operations
  • Prior experience with Travel Management Companies (TMCs) or international organizations is an asset.
  • Familiarity with UN/common system travel rules is desirable.

Knowledge & Skills:

  • Strong technical expertise in airline reservations and ticketing.

Finance Assistant G5, Nairobi

JOB PURPOSE

  • To support effective delivery of Finance, Budget and Administration support services in order to facilitate transparent and efficient utilization of financial resources.

KEY ACCOUNTABILITIES: (not all-inclusive, nor exhaustive):

  • Assist in providing the procedural and technical support to staff within the areas of finance and budget, to ensure compliance with WFP financial policies, rules and regulations.
  • Monitor monthly expenditure forecasts and provide expenditure reports in order to facilitate informed decision-making.
  • Monitor the sub-imprest bank and petty cash accounts regularly, to ensure that adequate funds are available and appropriately disbursed.
  • Verify vendor claims, advances and other receivables and observe appropriate procurement procedures, to ensure that suppliers are paid in a timely manner and in conformance with WFP finance rules and regulations.
  • Assist in compiling information from various sources in order to prepare reports relating to budgets, accounting, finance and statistics.
  • Retrieve, format and validate information obtained from various financial information systems and bring any discrepancy or inaccuracy to the attention of the supervisor and follow up corrective actions.
  • Monitor account balances and process financial transactions in an accurate and timely manner, to avoid the occurrence of an overdraft.
  • Maintain the web-based register for all invoices and payment transfers and record paperwork, to ensure that all documents are maintained and filed in compliance with WFP standards and guidelines.
  • Monitor and record all expenses in line with the approved budget in order to ensure that correct expenditure costs are charged and payments to external suppliers, cash grants and other supplier invoices are processed in a timely manner.
  • Provide guidance and on-the-job training to other support staff, to ensure services are delivered consistently and to the required standards.

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE:

  • Has experience collecting, monitoring and analyzing financial data and reporting to senior management.

QUALIFICATIONS AND EXPERIENCE:

Education:

  • Bachelor’s degree in Finance or Accounting.
  • Membership in professional accountancy body is an added advantage.

Experience:

  • Five or more years of work experience in the field of Finance and Accounting.
  • Experience in the field of Public Accounting is an added advantage.

Language: Fluency in both oral and written communication in English.

Workforce Planning and Org Design Consultant

ROLE:

  • This role is outposted in a Regional Office to support the design, delivery and monitoring of workforce plans and structural reviews at Country Office level within a specified region. It works in close collaboration with internal and external stakeholders, from WFP’s management to functional subject matter experts, HR colleagues and external experts.
  • Priorities can often change in a fast-paced environment like WFP, so this role includes, but is not limited to, the following accountabilities:

ACCOUNTABILITIES:

  • Serve as regional technical focal point for Strategic Workforce Planning and Organizational Alignment Reviews, supporting Country Offices in the assigned region in line with WFP methodologies, regional priorities and operational needs.
  • Conduct workforce analysis using available data, workforce planning systems and stakeholder inputs, including current workforce composition, skills, future demand, talent supply, scenarios and projected gaps.
  • Analyse Country Office organizational set-ups, structures and workforce composition, and develop organizational design options informed by workforce planning findings.
  • Translate analysis into clear insights and practical recommendations to inform discussions and decision-making with Country Office management and senior stakeholders.
  • Support the development of workforce plans and organizational design options that respond to short-, medium- and long-term needs, including key actions, sequencing, resource implications and implementation considerations.
  • Facilitate engagement with Country Offices, Regional Offices, HQ, HR colleagues and functional experts, ensuring assumptions are tested, operational realities are reflected, and stakeholders remain informed and engaged.
  • Coordinate the collection, validation and presentation of workforce data, ensuring quality, consistency and data privacy standards are maintained.
  • Monitor the implementation of workforce plans and structural review recommendations, supporting follow-up, lessons learned and adjustments as priorities or operational conditions evolve.
  • Contribute to the continuous improvement of SWP practice across WFP, including tools, templates, benchmarks, knowledge products and good-practice sharing.
  • Work collaboratively as part of the SWP team, bringing analytical thinking, sound judgement and a solution-oriented approach to help WFP anticipate and plan for future workforce needs.
  • Perform other related duties as required.

QUALIFICATIONS & EXPERIENCE REQUIRED:

Education:

  • Advanced university degree in Human Resources, Organizational Development, Organizational Psychology, Business or Public Administration, Economics, Data Analytics, Social Sciences or another relevant field. A first-level university degree with additional relevant experience.

Experience:

  • Minimum 5 years of experience in HR management, of which at least 3 in Strategic Workforce Planning, Organizational Design or HR consulting with excellent analytical, communication and project management skills
  • At least 3 years of international experience either working abroad or in an international environment, as part of a multicultural team.

Knowledge & Skills:

  • Strong understanding of strategic workforce planning, organizational design and/or HR advisory work, preferably in complex or international organizations.
  • Strong analytical skills, with the ability to work with workforce data and stakeholder input, identify patterns and translate findings into clear insights.
  • Strong planning, problem-solving and organizational skills, with the ability to manage multiple priorities and adapt to changing operational needs.
  • Strong communication and stakeholder engagement skills, including the ability to work with HR, functional experts, Country Office management and senior stakeholders across cultures and organizational levels.
  • Proficiency in Microsoft Office and relevant workforce planning, data analysis, reporting or visualization tools; knowledge of data visualization platforms and AI-enabled productivity or analytics tools is an asset.

Languages:

  • Excellent command of English, fluency (level C) in oral and written English, is essential. Knowledge of another UN language is an asset.

Ability to travel:

  • Mainly within countries in the assigned region and others, as required
