Mailroom Officer
To plan, coordinate, and streamline administrative procedures, policies, and systems to ensure the efficient and effective execution of all administrative support activities. This role is pivotal in facilitating the smooth operation of other units within the organization by developing and implementing policies that align with the bank’s strategic and operational goals.
Key Responsibilities.
Governance:
- Consistency in adherence to and application of established policies, processes and tools to achieve optimal efficiency, compliance and cost containment for all Admin related activities.
- Ensure all Admin related audits are conducted as per regulation and policy.
- Ensuring closure of all audit findings.
- Support periodic review and update of policies and procedures as per set out frequency.

Financials:
- Drive and support cost management initiatives and track the outcomes especially with courier services.
- Develop and implement a cost-effective program including load consolidation and cost-avoidance measures.
- Minimize expenditures, maximize revenues and adhere to budgeted cost parameters.
- Payment processing for all repairs and maintenance costs.
- Develop and implement cost reduction initiatives.
- Conduct negotiations as relates to provision of courier services and achievement of at least 10% savings.
Contracts:
- Works with Admin Manager to administer contracts execution/renewal program at least three (3) months before expiry and minimize delays in execution/renewals;
- Procurement, negotiation and management of courier services contracts and service level agreements.
- Undertake timely review of Contracts with Legal Department before execution
- Ensure 100% execution of contracts.
Reporting/Internal Processes:
- Receive, sort & deliver incoming and interoffice correspondences in a timely manner as addressed.
- Prepare and facilitate outgoing mail and shipments for dispatch, with appropriate carriers.
- Ensuring policy adherence and regulatory compliance for dispatches to international destinations including subsidiaries.
- Maintain proper records of items received and dispatched.
- Manage and track inventory of supplies with the mailroom.
- Periodic reporting on budgets vs expenses and monthly savings in respect to courier services.
- Maintain an up-to-date Admin Contracts database.
- Troubleshooting emerging courier related issues.
- Identify trends and make recommendations for improvements.
- Undertake any other duty assigned from time to time.
Stakeholder Engagement (Supply performance; Customer satisfaction):
- Schedules site visits and stakeholder engagements regularly
- Enhance internal and external customer relationship and ensure the customer is satisfied with our support.
- Scheduling and implementation of internal and external stakeholders’ engagement through meetings, customer experience engagement and branch visits.
- Monitor the performance of suppliers and take corrective actions where necessary.
- Manage and mitigate associated risks to enable the organization to meet its obligations and maximize business opportunity.
Learning and growth:
- Ensure teamwork to create a good environment within the group.
- Ensure individual staff performance to enhance productivity.
- Participate in trainings as necessary
- Ensure the Group culture is entrenched in the daily routine of our operations.
Qualifications
Qualifications & Experience
- Academic: A university degree in any business administration or related field
- Desired work experience: At least two(2) years’ experience in a similar role and responsibilities.
Administration Officer
Primarily, be responsible support the Assistant Manager-Administration in Implementation of all the administrative procedures, policies, systems and devising ways to streamline processes. Goal is to all support activities are carried out efficiently and effectively to allow other operations to function properly
Key Responsibilities.
Governance:
- Follow policies and procedures across the bank network align to group (customization of Policies and procedures)
- Support periodic review and update of policies and procedures as per set out frequency.
- Ensure compliance through effective Risk management, update of Risk registers and Closure of raised Audit issues.
- Support in reviewing and filing of department monthly RCSA (Risk control self-assessment)
- Support in periodic reviewing and updating department BIA (Business Impact analysis)
General Admin Financials:
- Drive and support cost management initiatives and track the outcomes especially with Online taxis, motor vehicles repairs and maintenance, goods transport, tools of trade.
- Develop and implement a cost-effective program including goods consolidation and cost-avoidance measures
- Minimize expenditures, maximize revenues and adhere to budgeted cost parameters
- Develop and implement cost reduction initiatives
- Conduct negotiations relating to provision of various general administration services and achievement of at least 10% savings
General Contracts:
- Works with the General Administration Manager to administer contracts execution/renewal program at least three (3) months before expiry and minimize delays in execution/renewals.
- Procurement, negotiation and management of Air travel, motor vehicle vendors, online taxi, HP for Tools of trade contracts and service level agreements.
- Undertake timely review of Contracts with Legal Department before execution
- Ensure 100% execution of contracts.
General Admin -Activity Management:
- Prepare and present reports on tool usage, inventory levels, and maintenance schedules to management
- Scope needs and prepare business case for bulk purchases.
- Update department weekly performance reports
- Schedules site visits and stakeholder engagements regularly
- Enhance internal and external customer relationships and ensure the customer is satisfied with our support.
- Scheduling and implementation of internal and external stakeholders’ engagement through meetings, customer experience engagement and branch visits.
- Monitor the performance of suppliers and take corrective actions where necessary.
- Manage and mitigate associated risks to enable the organization to meet its obligations and maximize business opportunity.
- Monitor invoice processing within SLA
- Handle all the supplier payment queries.
- The desk will maintain a centralized inventory of vendor data to ensure that all information remains accurate, up to date and readily available to facilitate payments.
- Lead proactive identification, remediation and tracking vendor issues of unpayment.
- Resolve issues that are reported, evaluated, and assign appropriate corrective action owners based on severity and other relevant criteria
Qualifications

Senior Administration Officer
To facilitate and overseeing Comprehensive cleaning, Gardening and Landscaping of bank’s premises, staff welfare meals and beverage, Coordinate training setup of High-level events and managing Invoice Help Desk by ensuring SLAs, budget and quality standards are met in accordance to the banks procedures and policies.
Key Responsibilities.
Governance:
- Consistency in adherence to and application of established policies, processes and tools to achieve optimal efficiency, compliance and cost containment for all Facilities related activities.
- Ensuring closure of all audit findings as per the annual Health & Safety and other Audits
- Ensure compliance with all regulatory legislation as applies to Admin General process and procedure.
- Implement and ensure compliance with the OSHA Act and Bank’s Health & Safety Policy in liaison with the HSE Manager
- Maintain an audit ready environment for both internal and external audits.
- Carry out regular inspections of the bank premises, identify defects on Kitchens and other common areas and liaise reports to Facility Management to initiate measures to correct the defects.
General Admin Financials:
- Implement a cost-effective measure on General Admin programs that include preventive practice.
- Minimize expenditures, maximize revenues and adhere to budgeted cost parameters.
- Payment processing for all General Admin related costs.
- Develop and implement cost reduction initiatives
- Reconciliation and production of the monthly payment runs including outgoing/adjustment reconciliation and audit facilities related accounts for certification prior to payment.
- Initiate green energy solutions for sustainable environment and account for the monetary gains in the implemented initiatives.
- Undertake any other duty assigned from time to time.
General Contracts:
- Works with Line Manager to administer contracts execution/renewal program at least three (3) months before expiry and minimize delays in execution/renewals.
- Procurement, negotiation and management of facilities services contracts and service level agreements.
- Undertake timely review of Contracts with Legal Department before execution.
- Ensure 100% execution of contracts.
General Admin -Activity Management:
- Comprehensive Cleaning and Waste Management: Ensure Garbage and sanitary waste is collected in good time and disposed according to NEMA regulations as per the contract.
- Staff welfare – Conduct periodic vender performance to ensure quality, code of conduct for the outsourced tea support staff within the business units.
- Landscaping and Gardening: Assist to Identify, acquire, conduct installation and maintenance beatification and landscaping of the branded and non-branded Bank gardens.
- Invoice Help desk: Monitor invoice processing within SLA.
- Events Management: Receive and record all Events, training and meeting request.
- Stakeholder engagement.
