Data Analyst
Responsibilities
- Generate comprehensive reports and visualizations to effectively communicate findings and insights to HR stakeholders.
- Develop and implement the analysis, reporting and quality control of HR service delivery.
- Design and implement HR-relevant dashboards and KPI monitoring tools to facilitate informed decision-making.
- Identify and extract appropriate data sources for analytics projects from HR-related tools and systems (i.e., corporate tools related to talent acquisition, staff benefits and entitlements, Customer Relation Management Systems, other HR functions).
- Lead the data Quality Assurance and Enhancement processes, through review and assessment of the quality of HR data across various systems and sources.
- Implement robust data cleaning and validation procedures to maintain data accuracy and consistency.
- Collaborate with data engineers and data scientists to optimize data flows, enhance data quality, and drive continuous improvement.
- Produce a diverse range of HR reports and statistical analyses crucial for billing purposes and strategic decision-making.
- Develop and implement databases, data collection systems, data analytics and other strategies that optimize statistical efficiency and data quality.
- Identify, analyze, and interpret trends or patterns, using machine learning techniques for trend analysis and predictive modelling.
- Utilize statistical techniques and predictive modeling to forecast future HR trends and outcomes.
- Collaborate with HR business partners to translate analytical insights into actionable strategies for talent management and workforce planning.
- Diversity and inclusion analytics. Evaluate diversity and inclusion metrics, such as representation, geography, gender parity and employee demographics. Identify disparities and gaps in representation across various demographic groups. Collaborate with HR and Diversity & Inclusion teams to develop strategies for fostering a more inclusive workplace culture.
- Assist other functional areas with KPI and dashboard-related matters to ensure alignment with organizational goals.
- Lead a team of senior assistant data analysts, providing guidance and support to drive team success.
- Perform other duties as assigned to support the overall objectives of HRMS.

Education

Work Experience
- A minimum of five (5) years of progressively responsible experience in applied analytics, business intelligence, information management, statistics, project management, stakeholder management or related area is required.
- A minimum of three (3) years of experience developing HR dashboards is required.
- Experience with self-service analytics and data visualization applications (MS PowerBI, Qlik, Tableau or similar) is required.
- Knowledge of business intelligence tools (SAP Business Objects, etc.) is required.
- A minimum of three (3) years’ experience working with Customer Relations Management tools is desirable.
- Experience in tools managing version control such as Git is desirable.
- Experience with database or programming languages (SQL, Python, R) is desirable.

Administrative Officer
Responsibilities
HUMAN RESOURCES MANAGEMENT:
- Initiates and coordinates actions covering the entire span of human resource activities, e.g., recruitment, placement, promotion, performance appraisal, vacancies, job classification reviews, separation of staff members, training, etc., ensuring consistency in the application of UN rules and procedures.
- Provides expert advice with respect to conditions of service, duties and responsibilities, and privileges and entitlements under the Staff Rules and Regulations.
- Represents the Department/Unit at Departmental Panels and appointment bodies.
- Reviews post incumbency reports for purposes of vacancy management and staffing table control.
- Leads, oversees and coordinates the preparation and implementation of the work program and budget to ensure compatibility with work priorities and objectives, taking into account the most effective use of resources.
BUDGET AND FINANCE:
- Initiates and conducts studies to improve budget reporting systems and cost-effective utilization of program resources.
- Monitors and controls budgetary allocations through regular reviews; drafts routine and ad hoc outputs; and provides effective monitoring reports and data. Identifies deviations from plans and proposes corrective measures.
- Establishes and maintains a set of sound policies, procedures, standards and tools which are consistent with UN policy and practice in order to ensure proper accounting, financial management and control.
GENERAL ADMINISTRATION:
- Provides operational management and support to the Travel, Shipping and Visa Unit (TSVU), with responsibility over all official and entitlement travel, as well as issuance and renewal of travel documents including UNLP’s and Visa and official shipment of personal effects.
- Provides operational management and support to the Host Country Services Unit (HCSU), with responsibility of all entitlements in line with the Host Country Agreement (HCA), coordinating directly with Departments and Ministries of the Host Country including but not limited to Ministry of Foreign Affairs (MFA), Kenya Revenue Authority (KRA), Immigration and the National Transport and Safety Authority (NTSA).
- Provides operational management and support to the Property Management Unit (PMU), with responsibility for all supply chain related functions including property management of equipment and assets, annual verifications, issuance of gate passes, disposal, receiving, inspection, stores management, mail, pouch, courier, messenger services.
- Implements and monitors support services, including procurement of supplies and services; transport, travel and traffic, communications, engineering and information technology support; and provision of local utilities and service requirements. Supervises a staff team and/or provide advice to others on human resource administration, financial administration and management information issues and practices to colleagues.

Travel Assistant
Responsibilities
Travel and shipment authorizations:
- Receive, review and verify travel and shipment requests to ensure conformity with applicable rules and approve them in Umoja.
- Calculate and establish HR entitlement travel and shipment (e.g., DSA, terminal, SFT) for UN official/ staff members.
- Verify travel invoices, credit notes and refunds from respective vendors.
- Compare and reconcile travel reports submitted by the Travel Agency with UNON data to ensure that the management fee and other expenditures are in accordance with the contract.
- Calculate and establish travel expenses such as airfare/advances/excess baggage/terminals/lump sum for related travel/shipment requests.
- Review quotes received and establish fare to be awarded in line with UN rules on travel with UN Travel Agent or Shipping Agent if applicable.
- Review and approve expense reports where itinerary changed or where the SFT option was used. Request and record refund in Umoja, if applicable.
- Perform partial and complete cancellations in Umoja, if applicable. i) Send quotation requests to UN Travel agent, check on irregularities on quote received and work-out/suggest other cost saving itineraries and flight connection.
- Review and approve travel requests for other UN offices for issuance of tickets and DSA to travelers.
- Check on any irregularities in the itineraries provided, record and report discrepancies for review with the travel agency.
- Advise clients on their shipment and travel entitlements, e.g., excess baggage, shipment and whether travel is in economy or business.
- Conduct other assignments as may be assigned by the supervisors including but not limited to covering for the Travel Sub-unit Supervisor during his/her absence.
- Review and supervise UNHAS flight bookings.
- Perform other duties within the scope of work of TSVU as assigned by the supervisor (e.g., reporting, guidance on travel policy).
Travel Team Lead Role:
- Act as a focal point for first tier client escalations.
- Monitor and report KPIs for the travel sub-unit.
- Assess travel sub-unit workload and manage work distribution.
- Monitor travel agency contract compliance and report to supervisors for further action.
Online Tool:
- Responsible for the introduction and management of an on-line travel booking desk once implemented.
- Check the online routings and ensure that the most direct and economical route is enforced.
- Inform staff members on the status of the on-line booking. d) Print on-line tickets and forward them to staff members, as required.
- Keep on-line booking tools, options up to date and train other travel assistants in the technicalities and procedures associated with on-line bookings. Process Travel Authorizations, review travel requests.
Travel and shipment queries:
- Answer queries from staff members regarding their travel and shipment, relevant UN policy, Umoja workflow.
- Answer queries from out posted offices and service providers regarding travel of participants.
- Answer and advice clients on their shipment entitlement and excess baggage entitlement.
Travel and shipment agents’ invoices:
- Review invoices and credit notes.
- Refer invoices and credit notes discrepancies back to the agent for clarification and possible correction.
Other duties:
- Perform ad-hoc assignments as necessary (e.g., client outreach).
- Perform internal or external reporting assignments as necessary (e.g., advance purchase).

- Experience arranging travel for large group of meeting participants is desirable. 1 year or more of experience in data analytics or related area is desirable.
