    Job Objective/ Purpose:

    Manage the reception professionally at all times and ensure that all visitors, patients and clients are accorded timely, professional and compassionate service.

    Key Responsibilities:

    1. Welcoming and assisting patients with Registration, completing necessary forms and documentation, as well as ensuring that all information acquired is accurate and current.
    2. Processing admissions and clearing the patient on discharge.
    3. Communicating with insurance companies for pre authorization, and to verify coverage for services provided by the hospital.
    4. Ensuring that all the procedures / systems laid down for vetting and ensuring that all clients seeking treatment are followed for the various categories of clients i.e. Staff, GOP’s , AHC prepaid and credit/ insurance clients.
    5. Ensure that all incoming telephone calls are directed or transferred to the respective departments/ offices.
    6. Ensure client satisfaction through quality of service, communication, feedback, escalation and caring attitude, and demonstrate follow-up.

    Person Specification

    Job Objective/Purpose

    To ensure that high quality standards are maintained at all times in the provision of medication and medical consumables per Avenue Group’s defined policies and procedures.

    Key Responsibilities

    1.Ensure that the Pharmacy has the necessary equipment and ensure that they are in good working condition. 

    2.Ensure that all insurances exclusion lists are adhered to.

    3.Inform the doctor on equivalent of the out of stock/OTC medications and follow up to collect medications.

    4.Ensure that the Pharmacy is well stocked as per the set re-order levels. Do daily counts, spot counts, monthly stock takes and give a timely, accurate report with valid explanation on variances and expiries to the Pharmacy Superintendent/Business Manager.

    5.Prevention of medication errors by counter checking and verifying the prescription/ treatment sheets on doses, allergies, patient identification, right drug, legibility and give clear usage instructions.

    6.D.D.A to be dispensed as per the laid down policy, checked weekly and any discrepancies reported to the Pharmacy Superintendent.

    7.Ensure that the fridge temperatures are charted twice daily and any error reported to relevant department.

    8.Ensure that any issue pertaining quality is escalated to the Pharmacy Superintendent/Business Manager

    9.Track the allocated pharmacy quality indicators as required and timely report to the Superintendent.

    10.Drugs/surgical items expiry management;

    a. Check expiries of the allocated shelf and emergency trolley monthly (ensure short expiry items are replaced) and inform the Pharmacy Superintendent.

    b. Enhance FIFO/FEFO by the use of green stickers on short expiry drugs and expiry report sub module then share the short expiry list with the doctors/other branches to assist in liquidation.

    c. Document all expired drugs, quarantine and report to Pharmacy Superintendent for disposal as per the PPB regulations. 

    11.Adhere to Avenue corporate governance policies and procedures;

    a. Prevent, detect and report any fraud or criminal activity.

    b. Fully implement audit recommendations and attain satisfactory ratings in subsequent audits.

    12.Record and report all incidents/events to the Business Manager within 24 hours using the provided tools.

    13.Maintain and enforce infection control standards when doing extemporaneous preparations.

    14.Client satisfaction;

    a. Ensure client satisfaction through high quality of service, effective communication, prompt feedback and escalation of any unresolved issues to the relevant person for follow up.     

    b. Ensure that the standardized tool for patient satisfaction feedback is filed for measurement, follow-up and improvement.

    POSITION: IP TEAM LEADER

    Job Objective/Purpose

    Oversee the day-to-day operations of the laboratory and ensure efficient and effective functioning by managing a team of laboratory staff, coordinating workflow, and optimizing processes to meet operational goals.

    Key Responsibilities

    The Hospital Inpatient Team leader will perform the following people management duties as guided by Avenue HR policies and in coordination with the HR Department.

    a. Efficient Inpatient Doctors utilization- Liaise with the Medical Services Manager to ensure optimal staff levels as well as efficient use of overtimes and locums. 

    b. Identify training gaps and liaise with HR to facilitate training

    c. Ensure staff within the inpatient units are highly motivated and minimize staff attrition rates by

                   – Regular staff engagement and monthly departmental meetings

                   – Promptly addressing staff concerns

    d. Reward, Recognition and Discipline 

        – Ensure that deserving staff are recognized/rewarded 

        – Disciplinary action (with proper cause) is undertaken without undue delay and per defined policies

    e. Staff supervision: Responsible for supervising all inpatient doctors (resident and locum medical Officers)

    Ensure that the inpatient wards and theatre function effectively and efficiently.

    a. Ensure timely and appropriate investigations and treatment of the patient.

    b. Ensure smooth and timely admission process.

    c. Coordinate multidisciplinary care whenever a patient requires it.

    d. Monitor Turn Around Time of service and intervene when necessary

    f. Perform duties as a member of the hospital clinical governance committees as guided by the committees Terms of Reference.

    Conduct clinical activities and share the on-call responsibilities as per service responsibilities to the Hospital. Private practice will not be permitted.

    Ensure that avenue corporate governance policies are adhered to.

    b. Fully review and ensure implementation of audit recommendations 

    Ensure the highest quality of care and service in the inpatient units:

    Coordinate all Clinical Governance Committee meeting, maintain minutes and ensure closure of actions points / Matters arising.

    Prepare documentation for Clinical Privileging and maintain up to date records for all specialists and Inpatient doctors.

    Develop Care protocols, Standard Treatment guidelines and Pathways in coordination with outpatient team leader, Medical Services Manager, specialists, and other stakeholders

    Monitor compliance to care protocols, guidelines, pathways, and standard treatment guidelines by the clinical staff.

    Review and act on quality indicator reports and implementation of QIPs as assigned by Medical services Manager.

    Timely writing of death reports with timely escalation of unexpected deaths to Medical services Manager for incident investigations and root cause analysis.

    Incident Reporting: Ensure all sentinel incidents/events are recorded and reported within 24 hours using the provided tools, 

    Ensure proper documentation for patient notes and proper review – consulting with fellow doctors, consultants when need be.

    Maintain and enforce infection control standards.

    Ensure implementation of medication policies to prevent medication errors

    Patient satisfaction and confidentiality:

    Ensure patient satisfaction through quality of care, communication, and collection of feedback from patients as determined in the KPI using the standardized patient satisfaction in the inpatient units.

    Person Specification

    Bachelor’s degree in medical science.

    A valid Kenya Medical Practitioners’ and Dentists Board License (KMPDB) will be required
