Responsibilities
- Within delegated authority, the clerk of works (Electrical/Mechanical/Plumbing) will be responsible for the following duties:
- Provide assessment of all works performed, complementing the level of checks/inspections and balances during the project relevant to his/ her area of assignment.
- Liaise and coordinate with relevant services at UNON during construction and renovation for safety inspection of premises; report and investigate accidents and recommend correction of safety or fire hazards.
- Attend all meetings relating to electrical, mechanical, plumbing, fire alarm systems, security, IT, complex electro/mechanical/plumbing systems, related site utilities, elevators and other related issues, as appropriate and keep notes/records.
- Maintain full knowledge of the contracts, amendments to contract, production time- schedules, designs, and specifications, bills of quantities, change orders, and measurement methods applied, the quality assurance system and other frameworks, including revisions relevant to electro/mechanical systems of the CFP project.
- Oversee all receipts and inspection of building materials, samples, equipment etc related to the CFP.
- Develop and maintain archiving of the contracts, amendments to contract, production time-schedules, designs, and specifications, bills of quantities, change orders, measurement methods applied, the quality assurance system and other frameworks, including revisions relevant to his/her assigned duties.
- Maintain full-time site supervision, inspections and records also including all non- compliances with all the contract documentation.
- Ensure that the contractor records all daily events in the site diary/journal and when applicable monitor and record hours of working, day works, and notification of additional hours.
- Monitor, analyze and respond to the construction contractors’ reports. Assist in monitoring and evaluating change-order proposals.
- Assist and prepare in evaluating acceptances on substantial and final completion.
- Provide weekly activity reports summarizing the status of the works by end of period. Monitor and ensure that the contractor follows the last approved versions of construction drawings and specifications pertaining to his/her area of assignment.
- Performs other related duties as required.
Education
- Advanced university degree (Master’s degree or equivalent) in electrical or mechanical or related engineering fields is required. A first-level university degree in combination with two additional years of qualifying experience may be accepted in lieu of the advanced university degree.
- Certification in PRINCE II or Project Management Professionals (PMP) or similar Project Management certifications is desirable.
- Successful completion of both degree and non-degree programs in data analytics, business analytics or data science programs is desirable.
Work Experience
- A minimum of two (2) years progressive work experience (or four (4) years in case of relevant first-level university degree instead of advanced degree) as an Electrical/Mechanical engineer on a large size complex project entailing new construction and/or renovation that covers 25,000+ square metres of built area is required.
- Such experience in a United Nations entity or similar international organisation is desirable.
- Experience as a superintendent or building supervisor in at least three building projects of 10,000 m2 in size or more is desirable. Experience as an inspector of electro/mechanical and specialty systems work is desirable. Experience in using MS Project or similar software is desirable. 2 year or more of experience in data analytics or related area is desirable.
Communication & Social Media Intern
Daily responsibilities will depend on the individual’s background, the intern’s assigned office as well as the internship period.
- Under the direct supervision of the Public Information Officer, the intern will:
- Assist in Photography assignments. Ensure that all requests and instructions from UNIS pertaining to photography/videography requirements are fulfilled, including production of short videos in line with current digital audience needs, ,
- Assist in creating new and compelling visual assets using programs such as Canva, Adobe In-design, Illustrator for UNIS social media platforms and website,
- Assist in drafting content for the UNIS Nairobi social media platforms and website and enhancing interactivity,
- Assist in daily media monitoring and gathering newspaper headlines,
- Assist in increasing online engagements on Facebook live with youths in line with the UNIS advocacy campaigns and event,
- Assist in setting up registrations for participants including media accreditation and registration, – Any other assignments to assist UNIS Nairobi activities.
Qualifications/special skills
Applicants must at the time of application meet one of the following requirements:
- Be enrolled in a graduate school programme (second university degree or equivalent, or higher),
- Be enrolled in the final academic year of a first university degree program (minimum Bachelor’s level or equivalent), Have graduated with Bachelor’s degree, Masters, PhD or equivalent. Be computer literate in standard software applications (MicroSoft Office Suite).
- Have demonstrated keen interest in the work of the United Nations and have a personal commitment to the ideals of the Charter. Have a demonstrated ability to successfully interact with individuals of different cultural backgrounds and beliefs, which include willingness to try and understand and be tolerant of differing opinions and views.
- Preferred areas of studies: Communications, Journalism, Marketing, Social Sciences, Graphic Design, IT or any other related field. Applicants to the UN Internship Programme are not required to have professional work experience. However, a field of study that is closely related to the type of internship that you are applying for is required.
Administrative Assistant
Responsibilities
- Human Resources Management: Assist the Chief in all recruitment processes, initiates, processes, monitors, reviews and follows-up on actions related to the administration of the unit’s human resource activities, e.g., recruitment, job classifications, separation, training etc, ensuring consistency in the application of regulations and procedures. Supports all interns/contractor/consultants’ recruitments, monitors activities/deliverables, processes payments.
- Budget and Finance: Reviews requisitions for goods and services to ensure (a) correct objects of expenditure have been charged and (b) availability of funds.
- General Administration: Undertakes general administrative functions in Umoja such as requisitioning, processing payments, etc.
- Drafts routine correspondence.
- Draft reports and minutes.
- Ensures updated documents in Shared Teams folders.
- Perform any other assigned duties.
Education
Completion of High school diploma or equivalent is required. Supplementary courses or additional training in administration is desirable.
Work Experience
- A minimum of five (5) years of experience in administrative services or related area is required. The minimum years of relevant experience is reduced by two years for candidates who possess a first level University degree.
- Experience with the use of Enterprise Resource Planning (ERP) System (known as UMOJA within the United Nations) is required. Experience in providing assistance in UN HR recruiting process is desirable.
- Experience in writing reports and minutes of meetings is desirable. Experience in providing administrative support in conjunction with construction or renovation project is desirable.
- Experience in an administrative function within the UN Secretariat is desirable. One (1) year or more of experience in data analytics or related area is desirable.
