Project Coordinator Youth Ready Project

Key Responsibilities:

Project Planning, Coordination, Implementation and technical guidance

  • Responsible for the implementation of all theproject activities in accordance with the set youth ready guidelines
  • Ensure integration of Youth activities and Economic Empowerment sectors as well as other area program interventions
  • Work closely with the Cluster Manager to ensure that the appropriate controls are in place to realize effective, quality and timely project delivery in

Quality Assurance

  • Monitoring, Reporting and Documentation
  • Supervise and monitor project interventions in strict adherence to WV Kenya, Kenya government & donor regulations and other agreed standards.
  • Develop monitoring plan with communities and partners agreeing on the required standards for monitoring, with support from the M&E specialist.
  • Undertake regular project progress review meetings with staff and communities Ensure project data is captured, validated and updated on horizon

Advocacy, Engagement, Networking and Partnerships

  • Work with Nairobi City County Government and to leverage on financial and human resources to enhance synergy for project sustainability
  • Participate in County Sector Technical Working groups and forums at the Sub-County and Ward levels as will be appropriate.
  • Enhance partnerships with government and private partners to leverage on technical capacity development for youth, financial services and market access

Capacity Building

  • Ensure the capacity of partners (Saving groups, CBOs, Youth Groups, Youth bunges) is built to enable them effectively intervene in economic empowerment initiatives appropriately
  • Establish specific capacity building methodologies for effective delivery & sustainability of project interventions
  • Take lead in project staff and community capacities development through trainings

Others

  • Perform any other duty as assigned by the supervisor Participate in daily morning devotions

KNOWLEDGE, SKILLS & QUALIFICATIONS

  • At least four years on job experience and specialties in positive youth development, economic empowerment projects including gender mainstreaming
  • Experience in coordinating multi-sectoral programs
  • Highly flexible and organized, able to coordinate government and private sector players for effective support and implementation of program interventions
  • Must have a good understanding of the different systems of youth positive development.
  • He /she must have ample experience in capacity building, public relations, be a strong team player and have good coordination skills
  • Ability to design and conduct assessments, surveys, and information management
  • Experience in working with partnerships, including county governments, civil society, donors and local community’s structures;
  • Cross-cultural sensitivity, flexible worldview, and ability to work with a wide range of people from different backgrounds in a complex urbna environment
  • Minimum of a Bachelor Degree in development studies/commmunity development/sociology/ business management from a recognized university
  • A postgraduate training in project management, monitoring & evaluation, Economics, Agriculture or related field will be an added advantage.
  • Good understanding of World Vision and sphere standards.
  • Experience working with NGOs will be an added advantage
  • Knowledge on Gender and Social Inclusion with additional training or skills in gender mainstreaming / integration is an added advantage

Supply Chain Intern

Job Description:

  • Under the direct supervision of the Regional Supply Chain Specialist, the Supply Chain Intern is responsible for supporting the Regional Supply Chain Specialist in the delivery of critical supply chain functions within the EARO (East Africa Regional Office).
  • This position plays a pivotal role in contributing to the smooth and efficient operation of the supply chain, ensuring the successful execution of various functions and tasks under the guidance of the Regional Supply Chain Specialist. The Supply Chain Intern is integral to our commitment to providing effective and streamlined supply chain management within our organization.

MAJOR RESPONSIBILITIES

  • Adherence to Procurement Policies: Understanding, implementing, and maintaining World Vision’s procurement policies and procedures to ensure all activities are carried out in accordance with established guidelines.
  • Utilization of Provision System: Proficiently navigate and utilize the Provision online procurement system for various procurement activities, including requisition processing and tracking
  • Buyer Actions: Undertake buyer actions by obtaining quotations from suppliers in response to purchase requisitions generated through the Provision system.
  • Purchase Order Management: Share purchase orders with suppliers and diligently following up to ensure timely delivery of goods and services.
  • Stakeholder Communication: Proactively providing feedback and updates to requesters on the status of their procurement requests, maintaining transparent and effective communication throughout the process.
  • Item Catalogue Management: Reviewing and updating the Item Catalogue within the ProVision system to ensure accurate and up-to-date information.

KNOWLEDGE/QUALIFICATIOND FOR THE ROLE

  • Required Professional training, license, registration, and certification
  • Bachelor’s Degree in Supply Chain Management, Procurement, or Business Administration, or equivalent professional qualification (advanced CIPS).

MAJOR RESPONSIBILITIES

Statutory Management support

  • Ensure the remittance of NHIF; NSSF, NITA and HELB and other staff contributions are made to the relevant authorities by 9th of every month
  • Ensure statutory files are also updated with remittance advices or any other proof of remittance
  • Mandatory staff deductions are remitted to the relevant bodies by 9th of every month and their records are upto date with the payments

On boarding and staff exits Management

  • Collaborate with HR and department heads to prepare orientation schedules for new staff members.
  • Track the onboarding process to ensure it is done to completion
  • Staff receive complete orientation pack on arrival
  • New staff are fully oriented within one month of reporting.

Administer and support in the management of National Staff benefits scheme

  • Assist with timely member enrolment and deletion processes.
  • Provide support in liaising with the underwriter/broker for staff reimbursements.
  • Support in member education sessions
  • Support in the filing and updating staff records with scheme membership documents
  • All staff are onboarded on the medical cover
  • All staff are well conversant with their medical benefit
  • Reimbursement are paid to staff within 14 days

International Assignee’s- Resident Documentation process

  • Facilitate Work permit renewal applications for international staff and their dependents on EFNS
  • Update the resident permit database that all international staff and dependents have valid documentations on a timely basis.

Record Keeping

  • Help maintain staff records in both physical and digital formats
  • Ensure staff files are organized and complete in accordance with audit requirements.
  • Ensure all statutory documents/policies are signed and in staff files
  • Assist with drafting visa letters, bank letters, and processing travel insurance documents.
  • Update staff lists on a regular basis.
  • Updated employees file with all relevant documents in place

  • Maintain a track sheet of employee information that needs to be updated on an annual basis

KNOWLEDGE/QUALIFICATIONS FOR THE ROLE

Required Professional Experience

  • Holds a Bachelors (e.g., Human Resources, Business Administration) degree obtained within a year of the internship program and other relevant qualification from a recognized and accredited university.

  • Registered with IHRM
