Logistics Officer– Clearing & Forwarding
Brief Description
- The candidate will be responsible for the of clearing and forwarding activities while ensuring that all company materials i.e. catering stores and spares are availed and delivered on time at optimum cost to maintenance areas to meet operational requirements of Kenya Airways and Third-party operators. Ensuring full compliance with KCAA requirements, Kenya Revenue Authority under East African Customs Management Act and relevant civil aviation regulations and Laws of Kenya and Kenya Airways quality standards to support scheduled requirements of Kenya Airways. Responsible of all AOG and critical shipments are cleared and ready for use in the aircraft within the stipulated time.
Detailed Description
Principal Accountabilities (Responsibilities)
Documentation
- IDF and other clearance related documents submissions to various Government agencies
- Customs entry registration and perfection
- Ensure for all shipment types the process for clearing is articulated and well understood by the team
- Provide day to day support to the AOG team to ensure to meet 24 hrs delivery KPI.
- Keep contacts for all authorities who make decisions at the airport for customs to facilitate quick intervention to support the logistics team.
- Ensure all documentation and accounts for the SHEDS used are up to date and proper credit facility provided to KQ
Efficiency
- Bond Management on replenishing for shipments released under bond
- Correctly prepare folders per shipment.
- Proactively ensure prior release details are provided before shipment arrival.
- Correctly prepare prior release with Customs and other releasing bodies.
- Customer Service and Compliance
- Set sectional objectives or KPIs, review and assess ongoing performance of direct reports.
- KRA tax exemptions and PGA exemptions
- Update the Tracker continuously to ensure correct information is sent out by customer service team to internal customers.
- Updating on AOG clearance for quick turnaround.
Quality
- Ensure to handle the shipment and process with utmost care and maintain high quality work.
Cost Savings
- Where possible anticipate any costs incurred and move it immediately to ensure cost savings.
- Expedite the clearing process to ensure no additional costs are accrued or incurred especially demurrage, customs warehouse rent amongst others.
Job Requirements
Qualification (Minimum)
- Diploma in Purchasing & Supplies Management and
- Diploma in Clearing and Forwarding.
- Holder of KRA agent profile.
- KESRA training.
- 3 years’ experience.

Personal Assistant – Cargo
Brief Description
- The candidate will be responsible for professional running of the office of the Cargo Director as a first point of contact for external and internal stake holders at KQ. This position ensures the efficient functioning of the Cargo Director’s Office, manages schedules, coordinates communications, and handles a wide range of administrative tasks, allowing the Director to focus on strategic cargo leadership and decision-making.

Principal Accountabilities (Responsibilities)
- Maintain a high level of confidentiality of the office documents /files to ensure availability and up to date & accurate information.
- Maintain and manage the Director’s calendar, scheduling meetings, appointments, and travel arrangements.
- Ensure effective time management, prioritize commitments, and provide reminders for important deadlines.
- Act as the primary point of contact between the Director and internal and external stakeholders, including senior management, board members, government agencies, and business partners and facilitating timely feedback.
- Manage incoming emails, letters, and phone calls, responding or redirecting them as appropriate.
- Coordinate domestic and international travel for the Director, including flight bookings, hotel accommodations, transportation, and visa requirements.
- Prepare detailed travel itineraries and ensure travel-related documents are in order.
- Prepare and distribute meeting agendas, documents, and presentations for Director-led meetings.
- Attend meetings, take minutes, and follow up on action items.
- Organize and maintain confidential records, documents, and files related to the Cargo Director’s Office, ensuring easy retrieval when needed.

Material Controller- Contract and Supplier Performance

- The candidate will ensure inventory optimization through review and analysis of data and provision of solutions / proposals that guide agreement / contract decisions and establish supplier performance indicators by applying industry proven metrics for measuring & improvement of supplier performance to drive business operations.

- Drive contracts negotiation by analyzing and reviewing the requisite materials data
- Operationalize existing contracts and agreements,
- Monitor and control contracts performance – CSP, PBH’s, GTA’s
- Generating management reports regularly or as required
- Review and management of materials cost
Strategy and Development
- Implement Material Management vision, strategy, policies, processes and procedures to aid and improve operational performance and cost efficiency.
- Utilize data analysis techniques to identify patterns, trends, and discrepancies in material costs and supplier performance. Generate reports and insights to support decision-making and continuous improvement efforts.
- Implement processes and initiatives to drive continuous improvement in material costs and supplier performance. This may involve benchmarking against industry standards, implementing best practices, and fostering innovation in procurement processes.
Supplier& Contract Management
- Manage and track all component contracts currently active with suppliers (CSP’s, Lease, GTA, OEM / Supplier Consignment)
- Ensure that suppliers adhere to the terms and conditions outlined in contracts, including pricing agreements, delivery schedules, quality standards, and service levels. Monitor contract performance and take necessary actions to enforce compliance
- Evaluate the performance of suppliers or contractors based on various metrics such as quality, delivery timeliness, reliability, and adherence to contract terms. Develop and maintain relationships with suppliers to ensure smooth collaboration and address any issues that may arise.
- Contribute to supplier meetings and negotiations to ensure material management requirements are met.
- Implementing CLM (Contract Lifecycle Management) System that provides end-to-end visibility by enabling contract data to be structured at the organizational level and also helps to monitor and manage contract terms, dates, important supplier information, type of supplier, type of contract with real-time data insights.
People Management

Cost Management
- Monitor and control material costs to ensure they align with budgetary constraints and organizational goals. This involves analyzing cost data, identifying cost-saving opportunities, and implementing cost reduction strategies where possible.
- Contract Development & management
- Develop contract lifecycle management system for monitoring, tracking, maintaining and managing contracts to ensure achievement of agreed SLAs in conjunction with Purchasing and Operation management teams.
- Contribute to negotiations to ensure material management requirements are met in contracts agreed.
Risk Management
- Identify and mitigate risks associated with supplier performance, such as supply chain disruptions, quality issues, or cost overruns. Develop contingency plans to address potential risks and ensure continuity of material supply.
Safety and Training
- Ensure a health and safety culture is embraced within the working environment.
- Ensure Compliance with Material Management Procedures.
- Ensure training requirements are identified and requested to maximize performance in allocated tasks and on all the ASRs corrective actions, Quality and H&S findings being allocated.
- Ensure the staff operate in accordance with any health safety and environmental policies and procedures to ensure safety and wellbeing of self, staff and visitors.
Job Requirements
Qualification (Minimum)
- University degree in Engineering/Procurement/Supply Chain Management/Commerce.
- Strong IT systems knowledge and skills including advanced Excel skills/Bias in analytics.
- Experience of working in a material management role and supervising the smooth supply of materials in line with maintenance requirements and budget, ideally within aviation or manufacturing.
- Experience in contract management &/supplier performance.
- Knowledge of inventory management.
- Aircrafts systems or Familiarization course.
- Advanced understanding of materials management data and systems
- Knowledge of aircraft components/parts
- Ability to read, understand & interpret approved maintenance documentation e.g.; IPC, RSPL, AMM, SBs etc.
- Knowledge of lean techniques.
- Knowledge of aircraft parts airworthiness certification (EASA, FAA) KCAA and customs regulations relevant to aircraft parts desirable good understanding of IAT resolutions and industry rules.
- Membership of an appropriate professional body will be an added advantage.
- 5 years’ experience in Material Management/Supply Chain.
