Partnerships Intern

JOB PURPOSE

The External Relations Unit of WFP Kenya aims to enhance public awareness and understanding of WFP’s work in the country to both local and international audiences. To further its goals, the Unit seeks to enlist a full-time intern to support with the partnerships/donor relations function, helping to build and manage relationships with government and private sector donors that contribute to WFP Kenya’s USD 200 million per year budget

KEY ACCOUNTABILITIES (not all-inclusive)

  • Supporting the implementation of WFP Kenya’s Partnership Action Plan by identifying and mapping potential partners for thematic funding opportunities (e.g. drought relief, refugee assistance, school meals, social protection, climate & environment);
  • Ensuring timely and high-quality follow-up to meetings by drafting notes for the record/minutes of meetings and monitoring agreed actions;
  • Supporting the development of fundraising proposals and supporting documentation;
  • Supporting the internal capacity development of fundraising activities with strategic outcome managers;
  • Supporting the implementation of donor visibility activities to enhance the promotion of WFP Kenya’s activities to its partners, and documenting delivery of shared objectives with partners e.g. through documenting donor engagement events, creation of social media posts , presentations, factsheets and other promotional content; and
  • Contributing to the preparation of management and partner briefs, briefings, reports and supporting project visits and other partner events.

STANDARD MINIMUM QUALIFICATIONS

Education:

  • Bachelor’s degree in International Relations, International Development, Politics or other Social Sciences field, International Law.
  • Currently in the final year of Bachelor’s degree in any of the above disciplines or related areas; or
  • Currently enrolled in a master’s degree in any of the above spheres or related areas; or
  • Graduated no longer than 1 year ago from a Bachelor’s/master’s degree or equivalent studies.

Experience:

  • Work experience in fundraising, donor relations, event management or customer relationship management will be an advantage.
  • Experience in producing written reports, meeting minutes and/or synthesis reports will be an advantage.

Language:  Fluency in both oral and written English is required. Knowledge of another UN language is an advantage.

ICT Intern

JOB PURPOSE

To learn basic IT operation process by working with IT colleagues to deliver standard software and hardware support services, as well as monitor and maintain a wide range of information sources, to contribute to the effective delivery of IT services. 

KEY ACCOUNTABILITIES (not all-inclusive)

  • Learn by jointly working with colleagues to carry-out system and equipment maintenance tasks, such as back-up system data and system protection, to ensure they are running effectively and enable easy and efficient use.
  • Undertake basic monitoring and troubleshooting of server systems to ensure a consistent delivery of IT services to staff. 
  • Respond to basic queries about technology and systems to support the correct application of technology.
  • Receive and inspect all incoming assets and report discrepancies in IT materials inventory to senior colleagues to ensure materials are effectively tracked. 
  • Perform basic beta testing and support the roll out of new versions of centrally supported software to ensure software is operational for WFP staff.
  • Ensure information is up to date and accurate within inventories, databases, websites, and archives in order to support senior officers in managing these systems. 
  • With direction from senior colleagues, collate information to be included in standard material such as training documentation and web content, to contribute to the availability of information about services and products. 
  • Follow set emergency response processes and procedures as required to provide support in enabling emergency food assistance needs to be met. 

STANDARD MINIMUM QUALIFICATIONS

Education: Completed an undergraduate or graduate degree programme (e.g., a Bachelor’s/Master’s degree) at a recognized university, in the area of Computer Science, Information Technology, or a related field.

Knowledge and Skills:

  • Basic knowledge of computer hardware, software, and networking
  • Strong analytical and problem-solving skills
  • Excellent written and verbal communication skills

Language:  Fluency in both oral and written English is required. Knowledge of another UN language is an advantage.

Budget & Programming Officer

JOB PURPOSE

To deliver budget and resource analysis and programming activities and/or provide support in HQ/RBs, partnering with managers to apply best practice approaches that support the efficient, effective and compliant utilisation of funds.

STANDARD MINIMUM QUALIFICATIONS

  • Education: Advanced University degree in Business Administration, Finance, Economics or other relevant field, or First University degree with additional years of related work experience and/or training/courses.
  • Language: International Professional: Fluency (level C) in English language. Intermediate knowledge (level B) of a second official UN language: Arabic, Chinese, French, Russian, Spanish, and/or WFP’s working language, Portuguese.
  • National Professional: Fluency (level C) in English language and the duty station’s language, if different.

KEY ACCOUNTABILITIES (not all-inclusive)

  • Contribute towards the development of plans, processes and procedures ensuring compliance with wider budget programming policies and WFP standards.
  • Create and review project budget plans and monitor ongoing project performance against budget, ensuring adherence to guidance and policies, and providing financial analysis and advice to optimise resources.
  • Monitor and provide advice on fund utilisation, and advance financing, loan and borrowing/repayment and refinancing arrangements; alerting Country/Regional Directors to approaching deadlines for unassigned funds and potential resource shortfalls/surpluses, and proposing appropriate solutions.
  • Monitor and provide advice on actions related to project closure and resource transfer.
  • Monitor the resource pipeline to maximise operational effectiveness, following standards and processes, and providing advice on resource allocations based on severity of pipeline shortfalls using relevant pipeline tools.
  • Support the preparation of food-demand plans to support management and usage of corporate Global Commodity Financial Facility and provide information to guide RB/HQ decision-making when multiple projects compete for the same stock.
  • Create and review budget and project documentation, and ensure relevant resource data is recorded in internal systems for reference, in line with WFP standards and procedures.
  • Collate and analyse data for the preparation of accurate and timely reports, to enable informed decision-making and consistency of information presented to senior management and external stakeholders.
  • Proactively contribute ideas to senior officers for improvement to systems, techniques, tools, processes and procedures to better monitor and manage budgets and funds.
  • Support the capacity building of WFP staff in budgeting, fund management and operational planning through answering queries and updating training materials, manuals and guidelines.
  • Represent the unit at internal meetings/committees/working groups as required, in order to obtain and provide information from a budget and resource programming perspective.
  • Guide and supervise more junior staff, acting as a point of referral and supporting them with more complex analysis and queries.
  • Follow standard emergency preparedness practices and contribute to technical recommendations and guidance and monitoring the management of financial risks.
