Intern – Communications

- Develop, execute and report on social media engagement plans.
- Create concepts and ideas to visually communicate our brand and goals.

- Engage in internal communications activities for broad exposure to the organization.

Intern – Finance
Key Responsibilities:
The intern will work closely with the staff in the department while being exposed to the following areas to develop their skills:
Financial Reporting and Analysis
- Post financial data transactions into the accounting system.
- Consolidate and submit accurate project funding requests to PR.
- Ensure timely preparation and review of bank and M-Pesa reconciliation statements.
- Prepare and consolidate accurate financial analysis for management decision making.
- Prepare and submit Project Financial Reports as per donor requirement.
- Ensure timely review and recording of Employee Expense Reports.
- Ensure timely review and reconciliation of the balance sheet items.
- Consolidate periodic Cluster compliance reports.
Processing of financial payments
- Ensure timely processing of payments to service providers.
- Timely facilitation of staff with advance requests for smooth operations
- Review M-pesa requests from the various requesters for completeness of documentation.
- Validate M-pesa requests using Safaricom portal, make necessary corrections in liaison with the requestors.
- File the final payment reports from Safaricom portal.
Financial management and staff support
- Manage and address service providers queries with regards to payments
- Process petty cash requests as needed.
- Analyze and submit exempted taxes (VAT) for refund based on donor guidelines.
- Build capacity of staff and service providers on payment system requirements and changes.
- Prepare timely cash request for submission to the donor · Timely and accurate booking of received income.
Reconciliation of Balance Sheet Accounts
- Undertake reconciliation of receivable and payables accounts for the program.
- Constantly monitor balance sheet account balances.
- Follow up for timely accounting and facilitate booking of staff advances.
- Match transaction amounts in the balance sheet accounts.
- Prepare monthly reconciliation statements for the balance sheet accounts.
Asset management and Administration
- Ensure Project assets are properly tagged and recorded in the asset register and in Sun system within the Cluster.
- Support the Project in asset acquisition, management and disposal as per donor requirement.
- Liaise with the security department and the project driver to ensure the motor vehicle is used as per WVK policies.
- Review motor vehicle summary reports from the project driver on a monthly basis to ascertain proper usage and efficiency.
Risk Management
- Identify risks associated with the role for inclusion in Risk connect and advice on mitigation measures.
- Support grant project audits according to the donor requirements. · Respond to queries on a timely and accurate manner.
- Support timely implementation of findings and recommendations from audits and various accountability mechanisms.
- Ensure the grant operate within WV internal control systems to mitigate risks and ensure accountability.
- Actively participating in project start up workshops to ensure financial aspects of project are fully understood.

Intern – Supply Chain
Key Responsibilities:
The intern will work closely with the staff in the department whole being exposed to the following areas to develop their skills: –
Planning
- Assist to review procurement plan and monitor execution.
- Assist in reviewing requests and seek approval of internal customers on modifications of original requests.
- Identify alternative supply sources for materials / services not under contract
- Ensure safe delivery and receipt of ordered materials.
Strategic Sourcing
- Assist with execute the Market Assessment and Supplier Pre-Qualification process as per the set guidelines based on the set guidelines for the assigned categories.
- Assist in managing the RFQ/RFP Process including baselines & price survey methodologies as per the approved framework for the assigned categories.
Supplier contact relationship and management
- Assist in compiling accurately the master data management form (or contract/supplier register)
- Monitor and complete contract close-out, renewal or retender, as appropriate for the assigned commodities.
- Ensure that contractual conditions and performance indicators are understood by the suppliers.
- Assist in identify & resolve or escalate contract-related issues both internally and externally.
- Analyze supplier performance based on customer feedback information & other sources and coordinate with supplier for improvement.
Procurement Execution
- Receive incoming Purchase Requisitions (Pending Buyer Action), verify specifications are clear, conduct sourcing event if required items are not already on contract, update the PR with actual supplier record and release PR for approval.
- Follow Procurement Polices and guidelines in Supplier Award decisions under the applicable threshold.
- Consolidates all required documentation for presentation to Finance for timely supplier payment for materials and services delivered.
Data Management and analysis
- Assist to collect and analyze organization-wide data to support decision-making
- Provide support in the design of the business metrics to monitor SCM performance and alerting management when the performance trigger is violated.
- Prepare summary report of supplier bid responses for Procurement Committee award decision meetings
- Assist to track and analyze procurement performance and savings against established target levels
Process, Procedure and Policy
- Conduct all procurement related tasks as per the approved procurement policies, processes and guidelines.
- Collect customer feedback relating to the policies, processes and guidelines, and report to NO Management for improvements or change,
Systems Development & Implementation
- Collect and collate useful data which can be used to improve the general systems established and communicate this information to immediate Supervisor
Control & Compliance
- Assist to conduct supplier pre-qualification for all new-suppliers and maintain records.
- Participate in development of risk identification & assessment tools, registers and other tools and assessing SCM and contractual risks for procurements of goods, works or services

Intern – Sanitation & Hygiene
Key Responsibilities:
The intern will work closely with the staff in the department while being exposed to the following areas ta develop their skills: –
Project, Planning and Implementation
- Support timely implementation of the Integrated WASH & Health TP program activities within the AP.
- Facilitate timely and quality implementation of Water, sanitation and Hygiene projects.
- Support preparation and conducting hygiene and sanitation promotion training sessions.
- Ensure that business processes, standards and guidelines related to Sanitation and Hygiene initiatives are effectively applied in project implementation.
- Facilitate field visit for all respective line ministries to inspect progress of works and validate all the inspection reports (this includes quantified work done)
- Facilitate communities to identify viable Sanitation projects and ensure their participation in the implementation of the same
- Ensure cross cutting themes are integrated into the S&H project
- Conduct CLTS interventions and facilitation of declarations of ODF Villages
- Mobilize the community for community contribution for project interventions
- Assist in the development of technically sound funding proposals through provision of information & data and review in collaboration with ADP Managers, other sector specialists.
Quality Assurance-Monitoring, reporting and Documentation
- Participate in joint supervision and Monitoring of Water and Construction interventions in strict adherence to WV Kenya, Kenya government regulations, WHO and the SPHERE standards.
- Participate in joint supervision and Monitoring of Sanitation and Hygiene interventions in strict adherence to WV Kenya, Kenya government regulations, WHO and the SPHERE standards.
- Participate and contribute to development of Project Designs and Annual Operation Plans. (4D matrices, DIPs, Annual Budgets).
- Contribute to quality monthly, quarterly, semi-annual, annual and end of projects reports in accordance with donors and WV Kenya requirements.
- Document and disseminate success stories and best practices on Water, sanitation and Hygiene projects in the ADP.
- Ensures participatory monthly data collection are conducted (involving communities and partners) using the standardized tools.
- Contextualization and utilization of reporting guidelines.

GRIP Intern – Faith and Development
Key Responsibilities:
The intern will work closely with the staff in the department while being exposed to the following areas to develop their skills:-
- Support Faith and Development Unit in building a healthy partnership with churches and other faith actors and in achieving planned child well-being.
- Support Faith and Development unit in integrating F&D models into World Vision Kenya programming to ensure improved wellbeing outcomes of children in Kenya as guided by National Office Strategy FY21 – 25.
- Support Faith and Development to mentor staff to live and consistently communicate World Vision Christian faith with boldness and humility.
- Participate and Support Monitoring, Evaluation, Accountability, Learning, Research and Innovation support for F&D Programming.
- Support in Resources Acquisition for F&D models and projects.
- Perform any other duty as may be assigned by supervisor or designee from time to time.

Intern – Information Technology (ICT Department)
Key Responsibilities:
The intern will work closely with the staff in the department, while being exposed to the following areas to develop their skills: –
Digital Workplace Analysis and Service Desk Support
- Digital Workplace planning and documentation
- Support development of customer satisfaction levels and ensure they are achieved through established metrics against SLAs.
- Provide support to develop, implement, operate and maintain End User Digital Technologies. Facilitates and provides input to the design/development process.
- Support day-to-day technical support to end users – triage, resolve or escalate reported incidents and problems.
- Support Research on trouble issues which affect multiple clients.
- Works with vendor technical support personnel on solutions for client’s issues.
- Provide responsive support for problems found during normal working hours as well as outside normal working hours.
- Generate activity and status reports and share with the supervisor.
- Support the process of closing customer feedback loop for Continuous Service Improvement
- Support continuous improvement of digital IT workspace service improvements and offerings to end users via proactive measurement, evaluation and ideation.

- Support regular customer experience and satisfaction surveys.
Software Development, Server Administration and Cloud Services
- Needs assessment for software systems for the organization’s needs.
- Maintenance, Modification and regular improvement of existing software systems
- Regular back up of local servers and supporting migration to cloud servers.
- Regular data cleaning of user data in the servers to ensure integrity of the data.
- Support updates and patching of the organization’s servers
Network and Infrastructure Management
- Network monitoring, troubleshooting and documentation.
- Support seamless connectivity in the HQ and field offices.
- Troubleshoot and resolve network connectivity issues in the National Office as well as the field offices.
- Support management of infrastructure power systems and power backup systems
- Participate in supervising on-site preventative maintenance and repair of infrastructure.
Business Analysis and Vendor Management
- Ensures that all technical resources are available for meetings that include video conferencing.
- Monitors services provided by vendors to ensure service levels meet requirements.
- Participate in evaluation of vendor solutions to ensure compliance with requirements and policies.
- Support in enrolment of the solutions to staff while supporting the staff with any technical issues related to the solutions.

Intern – Design Monitoring, Evaluation, Accountability and Learning (DMEAL)
Key Responsibilities:
The intern will work closely with the staff in the department while being exposed to the following areas to develop their skills: –
Support Quality Assurance in Programs and Projects
- Ensure adherence to Programme quality.
- Support in managing M&E systems (Horizon and other online systems that will generate timely information and feedback to all stakeholders).
- Review of all Statutory reports (CWBR, National Office Annual Report, TPs and APs Semiannual, Annual and ensure that they are timely submitted and adhere to all applicable guidelines (LEAP)
- Support Data Quality Assessment visits to Area
- Programs with Regional M&E Coordinators and conduct field visits for data validation,
- Support level monitoring and support visits to Regional and Area Programs
- Routinely verify progress results collated from local programming areas in the Horizon platform.
- Review quality and ensure timely submission of Annual Plans including Budgets, DIPs, ITTs and Area Programme Narratives
Provide Technical Support in Planning, Monitoring and Data base management.
- Analysis, aggregation and synthesis of monitoring and evaluation data to draw inferences at regional and national level.
- Support in collating monitoring data from across local
- programming areas to show progress towards the NO strategy and KPIs.
- Support technical program staff and stakeholder to develop detailed monitoring plan.
