Senior Monitoring & Evaluation (M & E) Officer
Role Overview:
The Senior M&E Officer will lead the technical coordination of the implementation of the AGRA Monitoring & Evaluation (M&E) plan in line with the M&E policy. He/she will spearhead the implementation of AGRA’s overall M&E plan and strategy in close liaison with the Head – Monitoring & Evaluation (M&E).
He/she will ensure that sound M&E systems and infrastructure are in place at all levels of investments and interventions (corporate, country, continental, and grantee) to provide timely and relevant data and information for learning and accountability to the AGRA Management Committee, the Board, and institutional donors. The critical role of the Senior M&E Officer is to ensure that M&E systems and plans are in place and being implemented effectively by the regional, continental, and country teams, grantees, and other partners. The position will supervise the M&E Performance Systems (MIS) Officer.
Key Duties and Responsibilities:
- Co-lead the development and operationalization of AGRA’s theories of change and results frameworks at various levels.
- Implements the AGRA M&E plan, drawing from the M&E strategy, ensuring that the overall M&E frameworks are incorporated within the Business Lines work plans and countries’ implementation strategies.
- Co-lead the identification and mitigation of M&E plan implementation risks.
- Design the M&E Management Information System and provide technical assistance to AGRA program Leads and the M&E Head as required.
- Lead M&E data collection and quality review efforts including drawing TORs for specific M&E-related initiatives including evaluations.
- Coordinates and manages results in progress tracking and learning activities.
- Coordinates timely provision of M&E data & information to AGRA management, Donors, and the Board of Directors.
- Leads in the effective coordination of data collection activities and surveys with partners and other stakeholders and ensures that AGRA indicators and data requirements are met in national and sector surveys and other data collection activities.
- Build professional linkages with development partners, resource centers, and institutions in the areas of monitoring, and impact evaluation.
- Enables talent management and development of existing staff, acquiring new staff as necessary, and manages team dynamics to ensure high-performance and positive employee experience.
- Assesses the AGRA M&E plan and recommends amendments in line with the AGRA strategy, when necessary, to the Head – M&E.
- Plans and actively participates in external reviews and missions by AGRA Donors or other African government Agencies or bodies.
- Assesses the need for and implements specific M&E special studies and other pilot projects.
- Support the development and implementation of the Learning Strategy and the entire institutional Learning agenda.
Key Qualifications and Experience Required:
Essential
- A bachelor’s or master’s degree in development economics, statistics, or social sciences
Desirable
- An expert in monitoring and evaluation with over 10 years of experience in the Agricultural development and food security sector. Strong management skills are essential.
- Strong quantitative and qualitative analytical skills, including econometric and statistical analysis.
Travel Associate
The Travel Associate will be responsible for processing post-travel transactions ensuring timely reconciliations, raising the Purchase orders, confirming the correctness of invoices, processing the invoices, and coordinating with the finance team to ensure timely payment of invoices.
Reporting to the Travel Officer, the Travel Associate will be responsible for ensuring that the processes following travel have been completed and are handled on time. He/she will liaise with the Travel Officer to ensure that tickets are booked on the system and facilitate the initiation of payment processes for travel-related payments.
Key Duties and Responsibilities:
- Reconcile reissued, canceled, and disputed tickets to ensure proper accounting and adjustments.
- Reconcile open tickets and refund tickets with vendors to secure credit notes and resolve discrepancies.
- Ensure that the quotes provided by vendors align with business requisitions, maintaining transparency and accuracy.
- Ensure that vendor invoices are accurately matched against AGRA requisitions and purchase orders to confirm correctness.
- Track and verify the timely payment of invoices, ensuring that any outstanding balances are settled accurately and promptly.
- Actively follow up with vendors to ensure the timely and accurate payment of all outstanding dues.
- Ensure that quotations provided by vendors match the requisitions, maintaining accuracy and openness in all transactions.
- Collaborate with the Travel Officer on travel management policies and procedures
- Work closely with AGRA Units to coordinate corporate events and ensure staff are informed about travel administrative procedures.
- Engage with finance to process travel claims, manage budgets, and ensure compliance with financial policies.
- Provide end-to-end travel services, assisting colleagues with travel authorizations, bookings, and inquiries.
- Negotiate service agreements and discounts with external travel agencies, hotels, and transportation services to optimize travel arrangements.
- Coordinate with insurance providers to ensure staff have valid travel insurance as per AGRA’s policies.
- Support in the representation of AGRA in discussions related to travel logistics for conferences, workshops, and field missions.
- Provide weekly reports on purchase orders, invoices, and payments processed to the finance team to keep all parties informed.
- Conduct weekly reconciliations of group fares to ensure accurate billing and adjustments.
- Reverify credit notes to ensure that they are accurately processed and applied to the correct accounts
Key Qualifications and Experience Required:
- Bachelor’s Degree or equivalent is generally required, with a preference for candidates trained in travel and tourism.
- Experience in a travel-related role or customer service environment is preferred, demonstrating familiarity with travel logistics and customer interactions.
- Certification in travel is an added advantage
Intern – Communication, Innovation, External Engagement and Advocacy
Key Duties and Responsibilities:
Administrative Support for Project Management:
- Develop a template/system for other teams to request CIEA support.
- Track and allocate tasks within the CIEA team, ensuring clear ownership and deadlines.
Research and Reporting:
- Compile summaries, reports, and insights to aid strategic decision-making.
Event Support:
- Assist in organizing webinars, workshops, and press conferences.
- Coordinate logistics for meetings, prepare materials, and follow up with participants.
Media Relations:
- Maintain and update media contact lists.
- Draft media pitches and track media coverage.
General Communications Support:
- Assist in content creation for internal and external communications, including newsletters and social media updates.
- Support the team in preparing presentations and briefing documents.
Qualifications and Education Requirements:
- Enrolled in or recently graduated from a program in Communications, Journalism, Public Relations, development studies, or a related field.
- Strong research and analytical skills.
- Proficiency in project management tools and MS Office Suite.
- Excellent verbal and written communication skills.
- Experience in event planning or media relations is a plus
